Commercial Contract Specialist

 

Summary

The purpose of this position is to act as the team lead for the administration, implementation and oversight of all Grifols Diagnostics formal and informal bids, contracts and/or fees for all commercial business. This includes but is not limited to, Hospitals, GPOs, Donor Centers, Reference Laboratories, and Distributor classes of trade. This role is responsible for establishing and maintaining a reliable system of record for all contracting and related fees, safeguarding data integrity, and audit readiness. By coordinating contract execution and cross‑functional collaboration, this position enables the commercial organization to secure sales, optimize profitability, and support the sustained growth of Grifols Diagnostics.

 

Responsibilities

Records Management

  • Lead the ongoing management and input of accurate information into the Grifols Diagnostics system for all contracts, including proper documentation in Records Management, the Service Contract Module, and internal contract record keeping.

 

Engagement Compliance

  • Owns the end-to-end contract process: the receipt, drafting, processing, approval, and follow up of all Grifols guideline, custom, or formal bid contracts to ensure all terms and conditions, pricing, and deadlines are met.
  • Responsible for the thorough review of all bids and/or contracts ensuring compliance with all regulations set forth by Grifols and that all submitted account data is accurate.
  • Collaborate with Sales, Legal, Supply Chain, Finance, and Marketing Departments regarding revisions to existing contracts and proposals, while ensuring contracts align with business expectations. Business expectations will include areas such as operational, financial, and service‑related business expectations.
  • Propose contract strategy and expertise while consulting with Sales/Legal on appropriate contractual language.
  • Lead the contract redlining process by reviewing and responding to proposed changes based on current business practices with legal and commercial functions.

 

Execution Compliance

  • Develop and maintain statistical and activity reports pertaining to bids, contracts, and customer sales activity for evaluating competitive pricing strategies.
  • Daily maintenance and input of accurate information into the Grifols Diagnostics system for all contracts.
  • Lead the annual price increase process by tracking updates via Salesforce.com tasks and proactively issuing customer notification letters.
  • Serve as key point of contact for field sales force, internal and external customers by providing feedback on all open issues.
  • Administer the calculation and processing of all contract related fees.  Initiate reports to validate contract sales which are based on actual sales account activity. Administer and maintain the appropriate fee system to ensure timely and accurate approvals, payments, and accruals.
  • Analyze contract compliance and publish reporting to the field sales team on a monthly basis.
  • Partner with Supply Chain to actively maintain accurate and updated database of customers and contracts.
  • Responsible for the ongoing maintenance and review of templates used in the contracting process.
  • Continuously audit contract terms and pricing to ensure alignment to agreed upon terms, leading corrective action plans where required.
  • Identify and lead value add projects to improve efficiency, quality, and performance on the Diagnostics business unit.


Additional Responsibilities

Design and maintain a user reference manual for contracts/fees. Responsible for corresponding with many levels of personnel and customers through letters, memos and other written and oral communication Assist with special projects as required and assigned. Candidate will interact with sales leaders and field sales force to ensure a complete and accurate contract is in place. Candidate will interact with financial analysts to ensure proper negotiations for the contracting process are handled in a timely fashion. Candidate will interact with external customers to ensure accurate information is shared between contracting party and Grifols.

 

Knowledge, Skills, and Abilities

Candidate must possess business, legal, and regulatory knowledge, as well as, knowledge of the competitive environment as it relates to bids and contracts. The position requires sound mathematical skills. Must be proficient in personal computer skills including Microsoft Office, Word, Excel, Adobe Acrobat and experienced with contracting systems. Experience with Salesforce.com, Microsoft PowerBI, and Smartsheet is a plus. The Candidate must possess strong written and oral communication skills. Candidate must be able to work independently without detailed instructions. Must be able to navigate a complex business process and adapt to a changing environment.


Education
The Candidate must possess either a BA or BS degree


Experience

5-7  years general business experience - experience in a contract related environment or contract paralegal experience preferred.


Equivalency

Depending on the area of assignment, directly related experience or a combination of directly related education and experience and/or competencies may be considered in place of the stated requirements.  Example: If a job level requires a Bachelor’s degree plus 4 years of experience, an equivalency could include 8 years of experience, an Associate’s degree with 6 years of experience, or a Master’s degree with 2 years of experience.
