POSITION SUMMARY:
We are seeking a Strategic Project & Executive Business Lead to support the roll out of the site strategy and working groups part of the strategy in GWWO.
The ideal candidate will provide project support and bring transparency to priorities.
REPORTS TO (JOB TITLE):
VP GWWO Managing Director & dotted line to Senior Manager HR
This role encompasses two key aspects:
- Strategic Project Lead. The successful candidate will lead and support assigned projects, programs, and initiatives of medium to high complexity, applying project management expertise to support the company's strategy.
- This role will emphasize innovation and ESG goals in the site, ensuring that projects align with the company's commitment to sustainability and responsible business practices.
- The Strategic Project Lead will work closely with senior management to support the execution of the site strategy,
- fostering collaboration and driving initiatives that enhance the company's digital presence and customer engagement.
- Executive Business Support. You will directly support the VP GWWO, Managing Director, and extended Leadership team, providing a comprehensive administrative support, including managing travel arrangements and expenses
- via Concur, schedule Leadership team meetings and events by handling meeting room bookings, taking minutes,
- and following up on actions. Additionally, you will act as an office manager, maintaining office supply inventory and facilitating internal communications such as memos, emails, presentations.
- This role requires experience in project management, change management, driving projects, and working with senior leadership teams.
- A focus and interest in innovation is highly desirable.
KEY RESPONSIBILITIES
Strategic Project Lead
- Support the overall site strategy and working groups part of the Strategy.
- Provide project support and ensure transparency on priorities.
- Assist in the coordination and management of projects.
- Influence key stakeholders to achieve successful completion and follow up on agreed actions.
- Support to the Leadership team in implement and manage change initiatives.
- Work closely with senior leadership teams to ensure alignment and execution of strategic initiatives.
- Prepare reports, presentations, and other documents as needed.
- Handle confidential information with discretion.
Executive Assistance to VP GWWO, managing Director and extended Leadership team.
- Providing administrative assistance to the VP GWWO, managing Director
- Management of Travel arrangements
- Management of expenses via Concur
- Facilitate the Leadership team meetings and events in terms of meeting rooms, minutes taking and follow up on actions, supplies and any other needs.
- Act as an office manager by keeping up with office supply inventory
- Facilitate information for internal communication – memos, emails, presentations, reports. Work closely with the HR department on Internal communications
- Act as the point of contact among executives, employees, clients and other external partners
- PO/ Ad hoc tasks to support VP GWWO, Managing Director
- Send invoices to accounts as needed.
- Visitors and Transport Requests
- Arrange transport requests such as taxis or Premier Chauffeur Drive for visitors.
On-Site Requirements
- Support the Company and staff in all related to General Services ensuring their perfect functioning.
- Manage office bookings, hot desk bookings, and meeting room bookings.
- Liaise with vendors for various on-site requirements.
- Send security notifications and confirm dates of arrival and removal.
- New Joiners under VP GWWO, Managing Director
- Ensure new joiner access and employees are set up and linked with relevant teams.
Stationary Facilities
- Manage office stationery for the two printer rooms.
- Ensure availability of lanyards and badge holders
- Event Coordination for Corporate visit as assigned by VP GWWO, Managing Director (collaborate with HR Team)
- Coordinate tasks for each event and ensure they are actioned and achieved accordingly.
- Support in the coordination of event schedule, speakers, and entertainment.
- Coordinate logistics with vendors (internal and external) from start to implementation.
- Promote the event through communication emails and calendar invites.
- Oversee the event on the day, ensuring everything runs according to plan.
- Handle any issues that arise promptly and efficiently.
PERSON SPECIFICATION
- Strong communication skills and effectively communicate at all levels of the organization.
- Strong administration skills
- Project Management experience and be able to drive different deadlines and projects.

- Proven experience as a Project Manager or similar role.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Bachelor’s degree in business administration, Management, or related field preferred.
- 3- 5 years’ experience
- 1+ Experience in multinational environment will be an advantage.
