Senior Manager, Warehouse

Summary:

This position is responsible for the strategic and day-to-day management of warehouse operations, inventory control processes, and logistics activities to ensure efficient material flow, inventory accuracy, regulatory compliance, and on-time delivery of products. This role oversees all receiving, warehousing, inventory management, shipping, and transportation functions while ensuring compliance with GMP, GDP, OSHA, and company quality standards.

The manager serves as a key cross-functional leader, collaborating with Manufacturing, Quality, Supply Chain, Planning, Finance, and Customer Service to maintain inventory integrity, optimize warehouse utilization, and support business growth.

Primary Responsibilities:

• Direct and oversee daily warehouse operations, including receiving, storage, material handling, inventory transactions, staging, and shipping activities.
• Ensure proper organization, housekeeping, and utilization of warehouse space, including ambient, refrigerated, frozen, and controlled storage areas.
• Develop and implement warehouse processes that improve efficiency, safety, inventory control, and service levels.
• Monitor warehouse capacity and develop storage strategies to support business growth.
• Ensure compliance with GMP, GDP, OSHA, environmental, and company safety requirements.
• Maintain warehouse equipment and coordinate preventive maintenance programs.
• Maintain inventory accuracy for raw materials, work-in-process (WIP), consumables, and finished goods.
• Oversee cycle count and physical inventory programs and investigate inventory discrepancies.
• Ensure inventory transactions are accurately recorded and reconciled within the SAP.
• Monitor inventory levels and provide recommendations to prevent shortages, excess inventory, and obsolescence.
• Ensure FIFO/FEFO inventory practices are followed.
• Develop inventory metrics and performance dashboards to monitor inventory health and warehouse performance.
• Lead root cause investigations and corrective actions related to inventory inaccuracies.
• Manage domestic and international shipping operations.
• Coordinate transportation providers, freight forwarders, couriers, and third-party logistics partners.
• Oversee shipment scheduling, routing, tracking, and carrier performance.
• Work with Global Supply Chain in regards to logistics strategies to improve service levels and reduce transportation cost
• Oversee material transactions, inventory transfers, receiving records, shipping transactions, and inventory adjustments.
• Ensure warehouse and logistics operations comply with applicable regulatory requirements including: Regulatory and ISO requirements, GMP requirements, OSHA regulations, and Internal SOPs and Quality System Requirements.
• Support internal audits, customer audits, and regulatory inspections.
• Participate in deviation investigations, CAPAs, change controls, and risk assessments.
• Ensure appropriate temperature monitoring, material traceability, and inventory documentation are maintained.
• Directly supervise warehouse, shipping/receiving, logistics, and inventory control personnel.
• Establish performance expectations and accountability measures.
• Conduct hiring, training, coaching, performance evaluations, and succession planning.
• Promote a culture of safety, quality, continuous improvement, and employee engagement.
• Ensure adequate staffing levels to support operational demands.
• Focuses on cost efficiencies are maintained and reduced without impact to quality.
• Is the Compliance expert and leads improvement projects relating to the distribution function and warehouse. 
• Ensures all equipment and facilities are validated state and operationally sound.  Partners with Facilities Operations and Engineering Teams to schedule repairs, preventive maintenance and manage capital upgrade projects, without disruption to operations. 
• Implements lean warehousing and distribution practices and continuous improvement efficiencies of material storage and flow, packing and transportation of goods.

Knowledge, Skills, and Abilities:

• Strong knowledge of inventory management principles and warehouse operations.
• Experience with ERP systems (SAP, Oracle, NetSuite, Dynamics, or equivalent).
• Experience with Warehouse Management Systems (WMS).
• Understanding of GMP, GDP, FDA, OSHA, and quality system requirements.
• Strong leadership, communication, and organizational skills.
• Advanced proficiency in Microsoft Excel and data analysis.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong problem-solving and decision-making abilities.

Education and Experience:

• Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Operations Management, or related field preferred.
• Equivalent combination of education and experience may be considered.
• Minimum of 10 years of experience in a cGMP environment, including a minimum of 7 years in a managerial capacity or an equivalent combination of education and experience.  4 years Pharmaceutical/Biotech industry experience is preferred.  
• Understanding of cGMP aspects of a warehousing operation.
• Demonstrated knowledge of materials management and lean concepts.
• Experience with ERP systems, preferably SAP, and Microsoft Office tools.
• Project management experience and APICS training/ certification preferred.
• Excellent interpersonal and communication skills.

Occupational Demands:

Occupational Demands Form: Work is performed in a warehouse environment.  Exposure to biological fluids with potential exposure to infectious organisms. Exposure to chemicals and to electrical manufacturing equipment and moving machinery. Exposure to high levels of noise.  Occasional entry into confined spaces, requiring kneeling and squatting. Works at heights on scaffolding and/or on ladders. Operates forklifts, tractors and power equipment. Personal protective equipment required such as protective eyewear, safety shoes, gloves and hearing protection. May walk; stand, bend and twists waist for 2-4 hours per day.  Frequent hand movement of both hands with the ability to make fast, simple, movements of the fingers, hands, and wrists.  Ability to make precise coordinated movements, of the fingers to grasp and manipulate objects. Frequent foot movement. Light to moderate lifting and carrying of 15-44lbs. for 2-4 hours per day.  Heavy lifting and carrying of 45lbs.and over for 1-2 hours per day with a maximum lift of 75lbs. Depth perception and far vision correctable in one eye to 20/20 and to 20/40 in the other eye. Able to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken and written words and sentences. Frequently performs simple and routine tasks that vary little each day by following a set of written or oral instructions/procedures. Maintains work pace to meet production standards.

The estimated pay scale for the Senior Manager, Warehouse role based in Vista, California, is $121,600.00 - $182,400.00 per year. Additionally, the position is eligible to participate in up to 15% of the company bonus pool.
